Risk Mitigation
MyFBO offers many features to help subscribers promote safety. Some of these features are highlighted in this document, but if you have specific questions or need additional information, please do not hesitate to contact [email protected].
Maintaining Up-to-Date Customer Information
Every customer in your MyFBO system (renter, student, member, passenger) has an individual database record. Over 100 data points are retained including name, contact information, emergency contact, security information (e.g., country of citizenship, height, weight, drivers license number), certificates and ratings, checkouts, time-in-type (checkouts for advanced avionics also included), flight data (e.g., flight review, most recent flight), scheduling and dispatch information, and additional status data (e.g., whether required terms and conditions have been read).
Customers who are allowed to log in to the system are routinely required to update their personal information based on the frequency set by an Administrator in the Customer / Member Parameters.
Customers with an e-mail address in their record can also automatically receive e-mail reminders. For example, reminders regarding expirations of medicals, flight reviews, renters insurance, etc. will be sent out if enabled by an Administrator in the Customer / Member Parameters.
Communicating with Customers
MyFBO makes it very easy for you to share important information with your customers. For example, if customers are allowed to log in to your system, the following features are available:
Required Reading allows you to "force" your customers upon logging in to read certain files before they take any other action. This is commonly used to have customers sign off on rental agreements or policies. The date that the required reading has been completed is recorded in the customer record. Required reading can work in conjunction with the Qualification and Limitation checker to block customers from scheduling and/or dispatch if they have not read and electronically signed the required documents. Required reading documents can also apply to staff users.
The Status Board was designed for Universities and Part 141 Schools to display their flight operations status. By having the flight status online, those operators avoid the endless "are we flying today" phone calls. Status is updated by Managers or authorized staff. The status messages can also be marked to indicate whether or not to allow aircraft dispatch. For example, if you have a No Fly status, it can be marked so that only managers or above can dispatch aircraft while the No Fly status is active.
It is also possible to send out bulk e-mail messages to all customers with an e-mail address in their record, whether they are allowed to log in to the system or not. The Broadcast E-mail feature is available to Manager level users and above.
MyFBO Tools
MyFBO includes tools available to all users to help assure appropriate flight planning. These include time and distance, weight and balance, and conversion calculators combined with customer planning links. Planning Links are external links added to the system by an Administrator.
MyFBO also supports custom Menu Extensions by subscribers. This allows for data from URLs outside of the MyFBO system to be shared in-system with staff and customers.
Document & Image Management
Document and Image Management includes the storage and retrieval of all types of electronic files. MyFBO has the ability to store and display many types of electronic documents, including images, text files, and PDF files.
Once this option is enabled by an Administrator, documents and images can be securely stored and attached to an individual customer record. For example, photos can be uploaded for ID Badges, and important customer documents can be scanned and securely stored. Document & Image Management also allows storage and sharing of multiple documents online with staff and customers, such as policies and training documents.
Online Scheduling / Qualification & Limitation Checking
Online Scheduling promotes better overall planning and organization for the subscriber. MyFBO has the ability to check many Qualifications and Limitations while scheduling and dispatching. Checking at the time a reservation is made is available to users of any edition -- Standard, Premium, or Advanced. Dispatch-time checks are available only to Premium and Advanced Edition subscribers.
The subscriber specifies the action to take if a specific qualification or limitation is violated -- ignore the limitation, issue a warning, or block the scheduling or dispatch action. For a complete list of all the items that can be checked, please see Qualification & Limitation Parameters.
