Customer Group Management
Group Management supports the assignment of customers or members to a predefined group. This allows the reporting of revenue by group and, through the Database Generator Reporting option, the accumulation of nearly any type of group data.
Subscribers with university or international student programs are using this feature to segregate these groups and their outside overseers from local or domestic students and staff members.
Group Management can also limit the authority of users with staff- and instructor-level access to seeing and reserving for customers in their group only.
Similarly, aircraft availability can be restricted to a particular group. One possible use of this feature is to allow club members to reserve all aircraft (group and non-group), but restrict general customers to non-group aircraft.
Setting Up Customer Groups - Group Management Parameters
To set up Customer Groups, the feature must first be enabled in the Features and Options Parameters on the Admin tab / Parameters and Settings Menu. Once enabled, up to 49 customer groups may be created in the Group Management Parameters. Two groups can be created on each visit to the Customer Group Pramaters page.
To setup a group, first enter a group code. The group code can be up to four characters long. Sample group codes:
Once a group code is entered, enter a short description. Finally, select from the drop down box how qualifications are checked for the group upon scheduling and dispatch. Check qualifications for groups are:
Note that once a group code is "in use" – a customer assigned or a ticket created – it can never be removed.
Assigning a Customer to a Group
A customer is assigned to a group in the customer record. In the General Information section there will be a drop down box for assigning any group that is set up.
Assigning / Restricting a Staff Member or Instructor to a Group
Staff members are assigned to groups in the same way as customers. Users with staff- or instructor-level access can be restricted to seeing and reserving for their specific customer group. Restricting access is accomplished by a Senior Administrator from the ADMIN tab / Staff Security Menu.
Restricting Aircraft to a Group or Groups
Aircraft can be restricted so they are available only to one or more customer groups. This setting is made in the Aircraft Rental Limitations in resource records on the Resource Management Menu.
