Multiple Locations

For subscribers that operate from more than one airport, MyFBO can be used in one of two ways:

If you are a multi-airport operator, the best choice depends upon how you operate. 

If your customers often use more than one of your fields, if you often transfer aircraft from one field to another, or if you routinely share flight staff between fields, a single installation for all fields is probably best. 

If your fields operate autonomously, almost as a separate business with little overlap of customers, multiple MyFBO systems / subscriptions may be preferable. If your locations operate very differently, for example, one location is a flight school and another location is a service shop or fuel dealer, multiple MyFBO systems / subscriptions may be best. The majority of MyFBO operational settings apply to all locations in the system, so locations that operate very differently may have difficulty sharing one MyFBO system.

There are two situations where multiple locations set up in one MyFBO system will definitely not work:

  1. If you use MyFBO to manage flight operations, all locations within the system must be within the same time zone.

    Each system "thinks" in the time zone of its primary airport. There is no logic that knows a 9:00 flight in California occurs at 12:00 New York time. Multiple locations within different time zones within one MyFBO system will result in incorrect confirmation and reminder e-mails to customers, incorrect times available during scheduling, among other issues. 

  2. If you process credit cards online through MyFBO and AHT Gateway and require that the resulting credit card funds be directed to separate bank accounts for the different locations, you must use multiple MyFBO systems. 

Setting Up Multiple Airports

MyFBO tracks multiple airports by their airport identifier. Airports / airport identifiers can be added by an Administrator from the Admin Tab / Location / Taxes / Fuel settings. Detailed information is needed for each location including address, contact information, local conventions, and local sales tax. 

Before making location changes in your live MyFBO system, you should Test it in the Sandbox!

Changes in MyFBO Operation

In MyFBO systems with multiple locations, an airports drop down box is added to many of the selections that can be made when using the system. 

Customers are associated with a default home base, but they, or staff, can make reservations at any location. If customers make their own reservations, airport selectors are included on their Schedules Tab (if allowed in Customer Menu Parameters). If staff make the reservations, there are drop down airport selectors at the top of all the schedule pages. On scheduling pages, the airport identifier that is pre-selected in the drop down box is linked to the "home airport" of the user.  Thus, the number of times an individual airport must be selected is limited while still providing access to the data for all locations. 

A user's home airport is easily changed in the General Information section of their customer record: 

  1. Select the FrontDesk Tab.
  2. Put the customer In Focus. 
  3. Select View/Update. 
  4. Select General Information. 
  5. Scroll down to Scheduling and Dispatch section.
  6. Change Preferred Airport Identifier.

During receipt preparation, there is an airport selector at the top of the receipt screen, allowing for proper realization of revenue by location in the case of customers being based at one location and making purchases at another. Reports found on the Manage and Financial Tabs will typically include selectors to view the reports for a specific location or for all locations. 

Fleet Management

For multi-airport operators, aircraft can be transferred or relocated from one field to another. These options are available from the Manage Tab / Fleet Management menu. There are options for Aircraft Loans and Aircraft Relocation.

Sharing Flight Staff between Locations

There are two ways in MyFBO to manage flight staff working at two locations within one system. Both require extra attention to avoid issues with customers self-scheduling conflicting reservations. 

  1. This option works for sharing between two locations. Set the staff pilot up as a staff resource a second time with the same exact first and last names. For the Resource ID use the same name with an underscore ( _ ) added to the end. Then link it to the EXISTING customer record when that option is presented. 

    Example: John Doe & John Doe_ 

    On the Home Tab / Personal menu, the staff pilot will have 2 standing schedules that will need to be kept current for each location in order to avoid overlapping reservations. The same standing schedules are available for Manager level update from the Manage Tab / Resource Management menu. 

    On the Daily Schedule staff will need to flip between locations to see availability of the staff pilot at each location. Scheduling a block of time on the schedule for one location will NOT block the same time on the schedule for the other location. 

    If the staff pilot floats between locations with no distinct availability at each, you may consider blocking them from customers being able to "self-schedule". This is accomplished from: 
    1. Select Manage Tab.
    2. Select Resource Management menu.
    3. Change Resource Data for -- select staff pilot.
    4. Usage Allowed link -- Mark "Customers Can Schedule" to No. 
    5. Miscellaneous link -- Add a Resource Note, such as "Please Call to Schedule". Customers will be able to see the staff pilot on the schedule and see the note, they will just not be able to self-schedule that particular staff pilot. 
  2. This option works for sharing between multiple locations. Set the staff pilot up as a staff resource ONLY ONE time, and make the location "ANY". 

    On the Home Tab / Personal menu, the staff pilot will have 1 standing schedule that will determine general availability for BOTH locations. 

    On the Daily Schedule staff will see the overall availability of the staff pilot on the schedule for either location. Scheduling a block of time on the schedule for one location WILL block the same time on the schedule for the other location. 

    Customers self-scheduling can still be an issue, since this sharing between two schedules does not take into account the time it takes the staff pilot to get from location A to location B. So while a staff pilot can't be scheduled for the same block of time at both locations, they could end up scheduled with no time to get to the other location. 

    Consider blocking customers from being able to "self-schedule" as outlined above to avoid this issue.
