Personal Information Retained

Subscribers may specify the types of personal information to include and retain in customer records. These settings can be made by an Administrator via the Personal Information Retained Parameters available from Admin Tab / Parameters & Settings menu. Information that may be retained or omitted includes:

• Occupation / Position
• County / Parish
• Additional Phone and Fax Numbers
• Second E-Mail Address
• Emergency Contact
• Country of Citizenship
• Government ID (Social Security Number) and Passport
• Driver's License
• Height, Weight, Gender, Hair, Eyes
• All Pilot-Related Data

Note that the retention of Driver's License data is required for Sport Pilot qualification and limitation checking.

Personal Information Retained

Sensitive Info View Code

To enhance security of sensitive personal information, an Administrator can set a Sensitive Info View Code. This view code is used to control staff access to view sensitive personal information in customer records, including government issued SSN, driver's license, passport and pilot certificate numbers. Requiring the view code ensures that sensitive information is only shown when needed. Provide the view code only to staff users that have a legitimate need to VIEW this information. The code is not required to update these fields in the customer record. Using this feature is HIGHLY recommended.

Hidden Sensitive Info in Customer Record

Once the Sensitive Info View Code has been created, it can also be used to protect documents and images stored with the customer record. When a document or image is stored, it can be marked as sensitive. Once marked as sensitive, the view code is required to view or print the document. It is not required to delete the document.
